Inspections may need to be scheduled for a variety of reasons: different time zones, repeated actions, etc. Members are able to create and schedule inspections in the same way they would normally create an inspection in the Vision Dashboard.
The first step to in creating a virtual inspection request is creating an Inspection Request from the Vision Dashboard. A Request creates the unique smartlink that enables the customer to access the Truepic Vision app.
When creating a scheduled inspection, you will have the option to set a time, date, and time zone for when the request should be generated. Once generated, it will trigger an SMS or an Email (depending on which one was chosen when creating) with a unique URL that your customer can use to directly access the Truepic Vision app.
Once logged into Vision, you will be presented with the Dashboard:
Click on the New Request button -the box and plus symbol on the left side panel- to bring up the New Request form.
Complete the New Inspection Request Form:
- Team: Select the correct team that you want the Request to appear under
- Type: Select the type of Request that you are creating; lists are automatically applied based on what is chosen
- First Name: Enter the first name of the Request recipient
- Last Name: Enter the last name of the Request recipient
- (Company Specific) ID: Enter your Company's request/reference number/Custom ID. This might be a policy number, business name or other number unique to your company.
- Address: Enter the address that you expect the inspection to to take place.
- Mobile Number: Enter the cell phone number of the Request recipient.
- Email: Enter the email address of the Request recipient.
- Send Text and/or Email boxes: This determines how your Request will be sent.
Next, you will need to define which Photos you are requesting. A default list may be presented based on what inspection type you chose; this can be edited by clicking on the Manage List button at the bottom of the list:
Once in this view you have several options to manage the List.
- Star icon: Clicking this and turning it blue will mark the photo as Required*
- Trash Can icon: Will remove it from the list
- Add Item: Enables you to add your own text description to the list
Click Done when finished editing the List.
At this stage you are also able to add a note to the message that you are sending.
Click on the Message tab next to the List tab to view the contents of the SMS/Email that will be sent to the recipient.
- You can add your own message by clicking on "Add Custom Note for Customer" - Custom notes can be up to 255 characters, including spaces.
- Enter the text that you wish to add in the box and click on Save Note when done.
Finally, clicking on the dropdown beside Create and Send will give you the option to Schedule for Later.
Clicking Schedule for Later will open a dialog to select a day, time, and timezone to send the inspection.
Once you click Schedule, the inspection will be created. Its status will show in the dashboard as "Scheduled", as shown below in both the Dashboard and in the Inspection Details screens:
If you need to change when a scheduled inspection is set to send, click the three dots at the top right of the Inspection Details screen, and select Reschedule Inspection. Please note: it is not possible to reschedule an inspection that has already been created and sent; if the option to reschedule inspection is not available, it is not possible to reschedule. In that case, the inspection will need to be closed or cancelled, and a new inspection created.
