An administrator on the account can manage inspections by selecting the Settings (gear icon) in the lower left hand corner of their dashboard.
From the Vision Dashboard, clicking the Gear Icon will open the Site Settings.
From there, find and click Message Templates (under Configure Inspections).
To create a new Message Template, select + Create Message Template from the top right of the Dashboard screen.
This will open the Message Template window where you can make your selections for the new template.
From there, you have five different templates you may edit:
- New Request - the initial template that will appear when you create a new Inspection
- Reminder to Start- the template that will appear when you are sending a reminder to begin the inspection
- Request More - the template that will appear when you select the "Request More" option
- Reminder to Finish - the template that will appear when you are sending a reminder to finish the inspection
- Text Auto-Reply - the response that will go out to users if they text back to the SMS number they received the Smartlink from
- Inspection Finished - if enabled for your team, this template can be used to confirm to an end user when they mark their inspection as "finished" in their mobile app, setting it as "ready for review" in the dashboard
Click the template on the left that you want to edit, and you will see both a subject (used only for emails) as well as a preview of the message on the right-hand viewing pane. The viewing pane automatically updates as you make changes to your template.
There are also preset variables that you can use to add specified information to your message as well, such as {{CustomerFirstName}} or {{SmartLink}}. This will populate the individual information for each inspection.
Once you have completed the fields, select SAVE CHANGES and refresh the browser window. There is a limit of 1682 characters (including spaces) for message templates.
